Executive Assistant

About the Role

We are seeking a proactive and highly organised Executive Assistant to support our CEO and senior leadership team. This role demands a high level of professionalism, discretion, and attention to detail. The ideal candidate will help ensure the smooth functioning of the executive office through effective scheduling, communication, and coordination.

 

Key Responsibilities

  • Manage and maintain the CEO’s and Director’s calendar, appointments, and daily schedule. Be prompt in the updates during reschedules.
  • Prepare materials for meetings – including meeting room readiness, briefing notes, and Minutes of Meeting (MoM).
  • Handle travel arrangements and logistics – flight bookings, accommodation, Itineraries, and expense tracking.
  • Be prompt in setting up external appointments, communication with the EA of other corporate offices and customers, including email correspondence, follow-ups, and stakeholder coordination.
  • Organise and maintain document flow and confidential records.
  • Coordinate internal and external meetings and ensure timely preparation and follow-up on action points.
  • Provide administrative and clerical support to the CEO and senior team as required.

Preferred Qualification:

  • Bachelor’s degree in any discipline, training on EA preferred.
  • 0–3 years of relevant experience; freshers with strong communication and coordination skills are welcome to apply.
  • Proficiency in MS Office Suite (PowerPoint, Word, Excel, Outlook).
  • Excellent written and verbal communication skills.
  • Strong time management, multitasking, and organisational abilities.
  • High level of discretion, professionalism, and confidentiality.
  • A solution-oriented mindset with a positive attitude and eagerness to learn.
